Position Title: Administrative Assistant
Location: Leidal Education Center
Department: Accounting
Reports To: Director of Accounting
Term: Year-round position
Schedule:  Mon-Fri Full-time

SUMMARY: Under the direction of the Director of Accounting, the Administrative Assistant will provide operational support to district mail, deposits, consumable inventory, and assist in the accurate recording of bank transactions.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
Collaboration:
Identifies and reports variances in building deposits to administrative assistants.
Assists in filing of accounts payable, receivable, and deposit supporting documentation.
Manages petty cash for district office and food service.
Arranges special shipments via preferred vendor.
Develops positive, effective working relationships with learners and staff.
Communication:
Connects and shares ideas through appropriate/applicable formats to express thoughts and ideas with integrity.
Coordinates service calls for copiers, printers, and postage meter.
Communicates effectively with bank staff to determine deposit differences.

Responsibility:
Operates postage meter for district mailing and monitors building postage usage.
Ensures all deposits and ACHs are accounted for in online banking.
Verifies checks issued match invoices.
Collects credit card statements and supporting documentation from cardholders.
Accepts and records electronic payments from stakeholders with outstanding billings.
Prepares NSF letters for review and distribution by Director of Accounting.
Prepares credit applications for new vendors.
Records bank receipts daily.
Orders, receives, and distributes office supplies for district office.
Tracks paper, receipt books, deposit books, and cumulative folders inventory for district distribution.
Prepares checks for mailing to vendors.
Distributes and manages all incoming and outgoing interschool mail.

The employee may be required to lift up to ~30 pounds.
The employee must work with the public and various WFPS staff while simultaneously managing several competing demands. 
The employee will work in an environment that has a quiet to loud noise level.
 
Education and/or Experience:
High School Diploma or General Education Degree (GED).
Ability to use technology as a tool for record keeping, communication, and budget management.
Knowledge and experience using Microsoft products, including Microsoft 365.
Experience working in any ERP/Accounting system preferred.
 
Language Skills:
Ability to read, write, and comprehend simple instructions and short correspondences in the English language.
Ability to communicate effectively verbally, expressively, and reactively.
 
Other Skills and Abilities:
Exercise confidentiality, discretion, and good judgement.
Adhere to the assigned work schedule by maintaining regular and punctual attendance.

Salary: Position follows the  2024-2025 Classified Salary Schedule at B214. Starting salary begins at $18.40-$25.60/hour, based on experience - https://www.west-fargo.k12.nd.us/departments/human-resources/salary
