MARK SANFORD EDUCATION CENTER - Grand Forks, North Dakota

Starting Date: Immediately

Education: High School Diploma, GED, or Associates Degree preferred.

Qualifications: Excellent communication, problem-solving, human relations skills, basic business accounting knowledge, knowledge of records management procedures, organization and prioritization, efficiency in Microsoft and Google, and other high-level secretarial skills. Three years of secretarial experience is preferred.

Job Goals: The Executive Assistant to the Associate Superintendent of Secondary  Education and Assistant Superintendent of Elementary Education provides a wide variety of complex administrative and secretarial support to the Assistant/Associate Superintendents; produces and conveys information regarding department functions and procedures; ensures efficient operation of support functions; creates and/or coordinates assigned projects and site activities, and is responsible for executing and monitoring district-level enrollments. The nature of the work performed requires a thorough knowledge of Grand Forks Public Schools organizational functions, policies, personnel and programs, and involves the use of sound judgment, professionalism, and tact when interacting with the public, government officials, and Grand Forks Public School staff.

Essential duties and responsibilities may include, but are not limited to the following:
Assist the Associate Superintendent of Secondary Education and Assistant Superintendent of Elementary Education with clerical and administrative duties as assigned.
Act as the first contact for the community and stakeholders seeking support from the Assistant and Associate Superintendents for their offices.
Function as a liaison among elementary and secondary schools, supervisors, administrators, staff and the public.
Assist in the preparation of school board memos and other materials.
Schedule meetings and manage calendars for the Associate Superintendent of Secondary Education and Assistant Superintendent of Elementary Education.
Coordinate travel arrangements as requested.
Final preparation of correspondence, reports, and curriculum projects.
Prepare agendas for the Elementary and Secondary Administrator and committee meetings as requested.
Prepare and complete state, district and school level reports.
Receive, coordinate, process, and communicate results of in-district transfer requests for all elementary and secondary schools.
Create and process purchase order requests along with reimbursement forms as requested. Maintain records for programs, reports, contracts, and check requests.
Create, update, and distribute Student Handbooks for the High School, Middle School, and Elementary schools, Home Education, Emergency Response Manual, Crisis Team Manual, Threat Assessment Manual, Course Description Book, and maintain the electronic files for the department.
Oversee coordination of the Home Education program (parent communication, testing, reports, etc.) for the purpose of ensuring student learning in the home school setting.
Process transcript requests for pre-2000 graduates from the school district.
Coordinate and assist the Assistant Superintendent with the sex offender permission on school property procedures.
Maintain high level of confidentiality and professionalism.
Receives and processes a variety of district procedures including but not limited to, Open Enrollment applications, UAP applications, bus ticket requests, student travel requests and fundraising requests.
Create and submit end-of-year reports to the Superintendent's office.
Organize and arrange the Early Entrance testing.
Other duties as assigned.
 
Work Environment and Physical Demands: While performing the duties of this job, the employee is frequently required to sit, walk, and stand. Lift sixty (60) lbs. occasionally, with the ability to reach, stand, walk, carry, bend, stoop, kneel, crouch, and sit. The ability to hear and see in order to communicate effectively as well as communicate clearly and concisely.  Maintain mental capacity, allowing for effective interaction and communication with others.

Terms of Employment: Twelve (12) months

Evaluation: Job performance will be evaluated by the Assistant and Associate Superintendents
